The illustrative opening budget is $156,600. It includes $68,500 of capital assets and $60,000 of opening cash, as well as preopening expenses, inventory and a refundable deposit. This is the cost of the stated format under explicit assumptions, not a national average.
What this opening budget covers
Illustrative operating case. Four-chair employee-operated hair salon with three employed stylists and a working owner. Approximately 1,200 square feet of existing leased salon space with two backwash positions. Service revenue only; no booth rental, nail services, spa procedures or retail-product profit assumed. All figures are before income taxes. Costs and demand are planning assumptions unless explicitly identified as observed evidence.
The budget covers a leased salon fit-out, four styling stations, wash facilities, tools, booking/POS systems, opening products and a reserve. It assumes feasible plumbing and permitted use subject to verification. It excludes spa treatments, nails, a training academy and a franchise agreement.

| Refundable premises deposit | $9,600 | Restricted opening asset, not an expense |
| Opening cash reserve | $60,000 | Available to fund ramp losses and timing |

Observed item reference: Buy-Rite Beauty — Sylvia SY-6605N black styling chair — $299. New live supplier observation, 3 October 2026: Sylvia SY-6605N in black, with chrome round base, hydraulic pump and T-footrest, shown at the stated item price for one chair with no optional add-ons or coupon applied. This replaces the unverified 1 October draft comparison; it does not confirm the earlier date. No destination sales-tax, freight, inside-delivery or assembly quote was obtained. Multiple chairs may require freight; four chairs at the single-item listed price do not qualify by themselves for the advertised free-shipping value threshold. The fixture allowance also includes mirrors, stations, reception and storage, so four listed chair prices cannot establish an installed salon budget. Open the equipment reference.
Why the major allowances need project evidence
The opening total is a worked scenario, not a verified market average or a supplier quotation. The largest decisions below explain what the amount assumes and what would invalidate it. Supporting a small purchased item does not validate a larger budget line.
| Budget line | Case amount | Status | Basis to test |
|---|---|---|---|
| Existing salon adaptation | $35,000 | Planning allowance | Retaining usable wet services is central to this allowance. Obtain measured plumbing/backflow, electrical, accessibility and finishing scopes before adopting it. |
| Four styling stations | $9,000 | Planning allowance | Four chairs are only part of four complete workstations. Add mirrors, cabinetry, trolleys and delivery/assembly in a non-overlapping schedule. |
| Two wash stations | $8,000 | Planning allowance | Two listed units establish a partial product subtotal. Plumbing, selected finishes, delivery and installation remain unresolved and must not be silently treated as included. |
| Equipment | $6,500 | Planning allowance | Unquoted allowance for this defined format. Obtain an item or measured trade schedule, scope exclusions and payment dates; reconcile any components already included in another line. |
| Systems | $2,500 | Planning allowance | Unquoted allowance for this defined format. Obtain an item or measured trade schedule, scope exclusions and payment dates; reconcile any components already included in another line. |
| Contingency | $7,500 | Planning allowance | Assumed spent at opening in this model, not an untouched reserve. Replace the round allowance with identified project risks and prevent overlap with quoted trade work. |
| Preopening | $12,000 | Planning allowance | Specify the preopening period, paid recruitment/training, permits and professional work. No local fee or duration schedule has been verified for the full allowance. |
| Opening inventory | $6,500 | Planning allowance | List actual opening stock by quantity and supplier terms. Distinguish stock held from goods consumed; reconcile initial purchase and replenishment timing. |
| Deposit | $9,600 | Planning allowance | Refundable lease security, kept as an asset. Confirm the signed lease amount, due date and release conditions; do not expense or spend it as available cash. |
| Cash reserve | $60,000 | Planning allowance | Cash retained after the other opening uses. Test the modeled monthly cash trough and changes in collections, payroll commitments and procurement. |
The case fit-out allowance divided by 1,200 assumed square feet is $29.17 per square foot. Cushman & Wakefield retail fit-out guide reports $157.00 per square foot for its 2026 US in-line retail scope. These are different scopes. The gap makes retained services and limited adaptation critical assumptions, not evidence that this business can be fully converted at the case amount. Obtain a measured trade schedule before relying on the lower allowance.
| Partial specification | Assumed quantity | Observed unit price | Calculated subtotal |
|---|---|---|---|
| Four styling chairs | 4 | $299.00 | $1,196.00 |
| Two backwash units | 2 | $799.00 | $1,598.00 |
Partial product subtotal: $2,794.00. Quantities are planning comparisons, not an approved procurement schedule. The observed unit prices and dates appear in the supplier evidence below. No tax, delivered installation or missing equipment has been priced by this multiplication. Match each component to its budget line; a residual allowance is not a quotation for the missing work.
Download the material-cost and operating-input evidence register (CSV). Fill the measured scope, quotation and payment dates before replacing the assumptions. Unpriced work remains unresolved; zero is not its estimated cost.
Check documented prices and the missing installed scope
These are specific item or fee observations, not national startup-cost averages. Each row prices one item or application within the stated scope. They do not replace the scenario allowances above or establish a complete equipment schedule.
| Item / configuration | Observed price | Basis and date | Evidence still needed |
|---|---|---|---|
| Buy-Rite Shelby backwash unit YLG-556 / base configuration | $799.00 | Advertised item price; optional add-ons excluded 2026-10-02 | One wash station. Confirm selected chair/bowl finish, freight, tax, plumbing, backflow protection and installation. A product listing does not certify the premises. |
| Buy-Rite Sylvia styling chair SY-6605N / black upholstery / chrome round base / T-footrest / no optional add-ons | $299.00 | New live supplier item-price observation on 3 October; no optional add-ons or coupon applied; replaces unverified 1 October draft amount 2026-10-03 | One black Sylvia SY-6605N chair with chrome round base, hydraulic pump and T-footrest; remaining assembly required. Four optional add-ons were unselected. No destination sales-tax, freight, inside-delivery or assembly quote was obtained. Multiple chairs may ship by freight; free-shipping promotions have a minimum order value and eligible continental-US destination restrictions, with extra service restrictions. Stations, mirrors, tools and premises works remain separate. The original 1 October observation remains unverified. |
Download the supplier-price and quote worksheet (CSV). Enter quantities and actual delivered/installed quotations for your project. Record tax, freight, unloading, installation, site works, quote validity, deposits and payment dates separately. Blank/unpriced costs are unresolved, not zero.
Match each item to an existing budget line before adding it. Do not add these reference prices on top of an allowance that already contains the same equipment. Reconcile one-time uses separately from refundable deposits and working capital.
Turn allowances into a project quotation
| Workstream | Evidence to obtain |
|---|---|
| Salon stations and services | Measure wet services, electrical work, accessibility and the landlord/tenant work split. |
| Equipment and stock | List stations, wash units, tools, color stock and delivery/installation separately. |
| Roster and booking | Price the employee pay arrangement, recruitment, training and booking/payment systems. |
Record supplier, exact scope, quantity, price basis, tax, freight, installation, exclusions, validity and payment dates. Reconcile overlapping work before adding quotes. Keep refundable deposits and operating cash separate from expenses.
Fund the ramp, not only the equipment
The model pays employees for their scheduled hours even when the appointment book is not full. That exposes the cost of building a client base. Tips do not fund payroll or enter salon sales. Products are held in inventory, and client receipts settle over a short assumed interval.
No gift-card cash, prepaid treatment packages or retail-product margin funds the opening. These can add liabilities, fulfillment obligations and different margins. Add them only with a clear sales and redemption schedule rather than treating all advance cash as immediate profit.
The base model reaches a lowest closing cash balance of $33,665 across 60 months. The lower-demand case has an unfunded requirement of $4,603. A zero shortfall means only that cash stays nonnegative in that particular run; it is not a recommended reserve floor.
| Question | Modeled amount | Interpretation |
|---|---|---|
| Two months with no sales and mature roster committed | $48,399 | Additional fixed operating costs and debt service; excludes new construction overruns. |
| Collections take 15 extra days at mature sales | $19,414 | Extra receivables funding; no change to operating profit. |
| Rate is two percentage points above the assumed rate | $1,291 | Recalculated monthly debt payment at the same principal and term. |

BLS reports a May 2025 national employee median of $17.21 per hour for hairdressers, hairstylists and cosmetologists. US employee wage median includes reported tips. Tips are excluded from salon sales in this model; the assumed base wage must still meet local rules. No contractor or chair-rental arrangement is assumed. Read the occupation source.
| Role or input | Assumption |
|---|---|
| Primary employee hours / week | 105.0 |
| Primary employee base wage / hour | $23.00 |
| Owner base compensation / month | $4,500 |
| Employer-burden allowance | 14.0% |
What can change this budget
Plumbing, wash stations, ventilation, electrical loads and the actual service menu can change fit-out costs substantially. A styling-chair price is an item reference, not a complete station or installed salon. Include mirrors, storage, reception, wash equipment, freight, installation and any premises changes.
Service quality depends on tools, product availability and staff training as well as appearance. Check color inventory breadth, purchasing minimums, wastage and storage. A low opening product budget can create frequent emergency purchases, while too many slow-moving lines tie up cash.
Costs and activities outside the case
The case excludes booth rental, commission-only contracts, retail merchandise sales, gift cards, prepaid packages, tips, spa/nail services and franchise fees. It does not establish local licensing or worker classification. Income taxes, significant refurbishment and replacement equipment are outside the forecast.
Replace each allowance with a dated quote covering quantity, tax, freight, installation and commissioning. Assign responsibility for approval dependencies and record which estimates can change before opening. The document checklist helps organize that work.
