HVAC service and installation startup costs

Illustrative case · Two-technician residential HVAC operation: working owner, one employee and part-time dispatch support · United States · illustrative case, no city selected

Explore this business · Startup costs

The illustrative opening budget is $206,500. It includes $95,500 of capital assets and $75,000 of opening cash, as well as preopening expenses, inventory and a refundable deposit. This is the cost of the stated format under explicit assumptions, not a national average.

What this opening budget covers

Illustrative operating case. Two-technician residential HVAC operation: working owner, one employee and part-time dispatch support. Two service vehicles and a small storage/office unit. Residential service and replacement only; no plumbing revenue, new-build contracting or commercial refrigeration in the model. All figures are before income taxes. Costs and demand are planning assumptions unless explicitly identified as observed evidence.

The opening budget includes two vehicles, service tools, initial parts, dispatch systems and modest rented storage. It assumes residential service and replacement work, with no new-construction backlog, sheet-metal fabrication shop or commercial maintenance contracts. Equipment allowances are installed/usable-budget assumptions; they are not supplier quotations.

Why the major allowances need project evidence

The opening total is a worked scenario, not a verified market average or a supplier quotation. The largest decisions below explain what the amount assumes and what would invalidate it. Supporting a small purchased item does not validate a larger budget line.

Material costs · scope, evidence status and reason for further research
Budget lineCase amountStatusBasis to test
Two service vehicles$60,000Planning allowanceThe allowance implies a lower acquisition cost per vehicle than a new base Transit comparison. Obtain used-vehicle condition reports or revise the fleet specification before calling this procurement feasible.
Two technician kits$22,000Planning allowanceCount manifolds, recovery units, vacuum pumps, scales, leak detectors, meters and shared specialty tools. Vehicle stock, subscriptions and calibration are separate scope decisions.
Parts and installation stock$18,000Planning allowanceSpecify stocked service parts versus equipment ordered for customer installations; supplier credit does not eliminate eventual payment.
Systems$3,500Planning allowanceUnquoted allowance for this defined format. Obtain an item or measured trade schedule, scope exclusions and payment dates; reconcile any components already included in another line.
Contingency$10,000Planning allowanceAssumed spent at opening in this model, not an untouched reserve. Replace the round allowance with identified project risks and prevent overlap with quoted trade work.
Preopening$14,000Planning allowanceSpecify the preopening period, paid recruitment/training, permits and professional work. No local fee or duration schedule has been verified for the full allowance.
Deposit$4,000Planning allowanceRefundable lease security, kept as an asset. Confirm the signed lease amount, due date and release conditions; do not expense or spend it as available cash.
Cash reserve$75,000Planning allowanceCash retained after the other opening uses. Test the modeled monthly cash trough and changes in collections, payroll commitments and procurement.

Ford commercial vehicle listing lists a new 2026 Transit Commercial from $48,400.00. A comparison schedule of 2 base vehicles is $96,800.00, or $36,800.00 above the case vehicle allowance, before project-specific options and delivered cost. This identifies a procurement gap; it does not establish the price or suitability of a used fleet. Obtain comparable condition, payload and upfit quotations and rerun funding if the chosen fleet costs more.

Comparison: one manifold per technician2$822.80$1,645.60

Partial product subtotal: $1,645.60. Quantities are planning comparisons, not an approved procurement schedule. The observed unit prices and dates appear in the supplier evidence below. No tax, delivered installation or missing equipment has been priced by this multiplication. Match each component to its budget line; a residual allowance is not a quotation for the missing work.

Download the material-cost and operating-input evidence register (CSV). Fill the measured scope, quotation and payment dates before replacing the assumptions. Unpriced work remains unresolved; zero is not its estimated cost.

Check documented prices and the missing installed scope

These are specific item or fee observations, not national startup-cost averages. Each row prices one item or application within the stated scope. They do not replace the scenario allowances above or establish a complete equipment schedule.

Current replacement for discontinued SM480V. One manifold is not a technician kit: price hoses/accessories, recovery equipment, vacuum pump, scale, leak detection and meters separately.

The older SM480V specification source is historical. TruTech Tools marks that model discontinued and links to the SM482V replacement. A cached old sale price should not be treated as a current purchasing offer.

Download the supplier-price and quote worksheet (CSV). Enter quantities and actual delivered/installed quotations for your project. Record tax, freight, unloading, installation, site works, quote validity, deposits and payment dates separately. Blank/unpriced costs are unresolved, not zero.

Match each item to an existing budget line before adding it. Do not add these reference prices on top of an allowance that already contains the same equipment. Reconcile one-time uses separately from refundable deposits and working capital.

Fund the ramp, not only the equipment

Replacement equipment may need to be paid for before the homeowner’s final payment clears. The case models inventory and a short average collection interval, without customer deposits or supplier credit. Confirm actual deposit rules and supplier terms before changing either assumption.

The forecast opens in January. Its monthly demand pattern is an illustrative combination of heating and cooling seasons, not a measured weather series for a selected city. A southern cooling market and a northern heating market can have very different slow months. Move the opening month and replace the seasonal pattern before using this schedule to decide how much cash to hold.

The base model reaches a lowest closing cash balance of $27,535 across 60 months. The lower-demand case has an unfunded requirement of $2,294. A zero shortfall means only that cash stays nonnegative in that particular run; it is not a recommended reserve floor.

What can change this budget

Separate service tools from installation materials: refrigerant-handling equipment, recovery, vacuum and diagnostic tools belong in the tool inventory, while equipment sold on a job belongs in that job’s cost. Budget calibration, replacement, safe storage and transport as well as purchase prices.

Vehicle condition and geographic coverage affect reliability. A cheap van that removes a technician from the schedule during peak demand can be expensive in lost contribution. The case includes a fixed vehicle-running allowance; check fuel, commercial insurance, maintenance and the split between paid field time and travel against a proposed route.

Costs and activities outside the case

The model excludes commercial construction, a separate ductwork crew, financed customer sales, maintenance-plan deferred revenue and warranty reimbursements. It does not price every equipment size or refrigerant transition. Income taxes, large replacement capex, financing fees and any second shift are outside this case. Local permit and contractor-license costs require actual quotes and rules.

Replace each allowance with a dated quote covering quantity, tax, freight, installation and commissioning. Assign responsibility for approval dependencies and record which estimates can change before opening. The document checklist helps organize that work.
