Explore this business · Startup costs
The illustrative opening budget is $367,000. It includes $195,000 of capital assets and $130,000 of opening cash, as well as preopening expenses, inventory and a refundable deposit. This is the cost of the stated format under explicit assumptions, not a national average.
What this opening budget covers
Illustrative operating case. Independent membership gym with limited personal training; no pool or spa. Approximately 4,000 square feet of leased space with strength/cardio areas and an assessed peak occupancy limit; membership capacity is not the fire-code occupancy. All figures are before income taxes. Costs and demand are planning assumptions unless explicitly identified as observed evidence.
The budget assumes a leased fitness space with feasible access, floor loading, ventilation and the stated equipment layout. There is no pool, sauna or property acquisition. The equipment allowance is for a mixed strength/cardio offer, not the price of one branded package. Membership capacity is an operational planning limit and must not be described as an approved fire occupancy.

Why the major allowances need project evidence
The opening total is a worked scenario, not a verified market average or a supplier quotation. The largest decisions below explain what the amount assumes and what would invalidate it. Supporting a small purchased item does not validate a larger budget line.
| Budget line | Case amount | Status | Basis to test |
|---|---|---|---|
| Leased premises | $70,000 | Planning allowance | A modest adaptation allowance depends on an already usable shell. Confirm floor loading, ventilation, toilets, accessibility, egress and sound control before using it. |
| Strength/cardio schedule | $95,000 | Planning allowance | Price a complete commercial-use schedule, delivery, floor protection, assembly and maintenance. A functional-training package is a partial comparison, not a substitute for the cardio/strength mix. |
| Membership ramp reserve | $130,000 | Planning allowance | Recruitment, churn and paid opening coverage consume cash before mature membership is reached. Reconcile actual sign-ups and cancellations with the monthly roster. |
| Systems | $12,000 | Planning allowance | Unquoted allowance for this defined format. Obtain an item or measured trade schedule, scope exclusions and payment dates; reconcile any components already included in another line. |
| Contingency | $18,000 | Planning allowance | Assumed spent at opening in this model, not an untouched reserve. Replace the round allowance with identified project risks and prevent overlap with quoted trade work. |
| Preopening | $20,000 | Planning allowance | Specify the preopening period, paid recruitment/training, permits and professional work. No local fee or duration schedule has been verified for the full allowance. |
| Opening inventory | $2,500 | Planning allowance | List actual opening stock by quantity and supplier terms. Distinguish stock held from goods consumed; reconcile initial purchase and replenishment timing. |
| Deposit | $19,500 | Planning allowance | Refundable lease security, kept as an asset. Confirm the signed lease amount, due date and release conditions; do not expense or spend it as available cash. |
Rogue 10 Person Econ Package lists a functional-training package at $18,085.00. It supports a larger partial equipment comparison than one bike. It still leaves the chosen cardio/strength mix, floor works, assembly and commercial-use requirements to specify; do not add its included equipment a second time.
The case fit-out allowance divided by 4,000 assumed square feet is $17.50 per square foot. Cushman & Wakefield retail fit-out guide reports $157.00 per square foot for its 2026 US in-line retail scope. These are different scopes. The gap makes retained services and limited adaptation critical assumptions, not evidence that this business can be fully converted at the case amount. Obtain a measured trade schedule before relying on the lower allowance.
Download the material-cost and operating-input evidence register (CSV). Fill the measured scope, quotation and payment dates before replacing the assumptions. Unpriced work remains unresolved; zero is not its estimated cost.
Check documented prices and the missing installed scope
These are specific item or fee observations, not national startup-cost averages. Each row prices one item or application within the stated scope. They do not replace the scenario allowances above or establish a complete equipment schedule.
| Item / configuration | Observed price | Basis and date | Evidence still needed |

| Concept2 RowErg with PM5 Standard legs / black | $990.00 | US retailer item listing; standard-leg model 2026-10-02 | One rower. Confirm freight, assembly, warranty/use terms, floor layout and maintenance. Tall-leg version and other gym equipment are separate. |
| Rogue Echo Bike V3.0 | $945.00 | Prior dated US manufacturer item observation 2026-10-01 | One bike, not the entire cardio or strength schedule. Reconfirm price, freight, accessories and commercial-use warranty. |
Download the supplier-price and quote worksheet (CSV). Enter quantities and actual delivered/installed quotations for your project. Record tax, freight, unloading, installation, site works, quote validity, deposits and payment dates separately. Blank/unpriced costs are unresolved, not zero.
Match each item to an existing budget line before adding it. Do not add these reference prices on top of an allowance that already contains the same equipment. Reconcile one-time uses separately from refundable deposits and working capital.
Turn allowances into a project quotation
| Workstream | Evidence to obtain |
|---|---|
| Premises | Confirm approved occupancy, ventilation, access, changing facilities and the lease work split. |
| Equipment | List quantities, installation, maintenance, warranty, freight and peak-use suitability. |
| Launch membership ramp | Separate presale cash, refundable commitments, acquisition costs and paid staffing. |
Record supplier, exact scope, quantity, price basis, tax, freight, installation, exclusions, validity and payment dates. Reconcile overlapping work before adding quotes. Keep refundable deposits and operating cash separate from expenses.
Fund the ramp, not only the equipment
Members are billed monthly in the model; no annual prepaid memberships are treated as free startup funding. Presales must be supported by real commitments before relying on them to hire staff or buy equipment. Refund rights and membership contract requirements depend on the actual selling arrangement and jurisdiction.
The deepest cash need can arrive several months after opening, when the facility is fully staffed but still below the number of members needed for cash break-even. Keep acquisition spend, failed payments, cancellations and membership freezes visible. A growing headline membership count can conceal declining realized receipts if discounts and failed collections are increasing.
The base model reaches a lowest closing cash balance of $54,627 across 60 months. The lower-demand case has an unfunded requirement of $34,568. A zero shortfall means only that cash stays nonnegative in that particular run; it is not a recommended reserve floor.
| Question | Modeled amount | Interpretation |
|---|---|---|
| Two months with no sales and mature roster committed | $55,732 | Additional fixed operating costs and debt service; excludes new construction overruns. |
| Collections take 15 extra days at mature sales | $23,075 | Extra receivables funding; no change to operating profit. |
| Rate is two percentage points above the assumed rate | $3,300 | Recalculated monthly debt payment at the same principal and term. |
Check the paid roster
BLS reports a May 2025 national employee median of $47,160 per year for fitness trainers and instructors. National occupational employee median; many roles have part-time schedules. It is not the gym owner’s income or a price for an independent training contractor. Read the occupation source.
| Role or input | Assumption |
|---|---|
| Primary employee hours / week | 70.0 |
| Primary employee base wage / hour | $20.00 |
| Owner base compensation / month | $5,000 |
| Employer-burden allowance | 15.0% |
What can change this budget
Equipment choices affect layout, maintenance and the target member, not just capex. Check electrical and network needs, floor protection, accessibility, clearances and service arrangements. A heavily used machine that cannot be repaired promptly also reduces the usefulness of the membership and can increase cancellations.
Separate premises works from machines. The lease may require reinstatement or restrict noise and opening hours. Obtain a schedule for delivery, installation and commissioning before launching presales with a promised opening date. A cheaper lease is not helpful if the permitted use or access hours defeat the offer.
Costs and activities outside the case
This case excludes pool operations, spa services, franchise fees, an extensive instructor-led class program, annual-payment liabilities, initiation-fee revenue and merchandise margin. It makes no claim about a legally permitted membership contract. Major equipment replacement, income taxes, financing fees and an exit sale are not modeled as cash sources or expenses.
Replace each allowance with a dated quote covering quantity, tax, freight, installation and commissioning. Assign responsibility for approval dependencies and record which estimates can change before opening. The document checklist helps organize that work.
