Record supplier, exact scope, quantity, price basis, tax, freight, installation, exclusions, validity and payment dates. Reconcile overlapping work before adding quotes. Keep refundable deposits and operating cash separate from expenses.

Fund the ramp, not only the equipment

The cash model assumes collection after revenue recognition and carries materials/work-in-process at cost. No customer deposits or supplier credit are credited as opening finance. That conservative convention exposes the funding burden, but a real project requires a weekly job cash schedule rather than only a monthly average.

For each contract, list the materials deposit, delivery, payroll, subcontractor payments, inspection milestones, invoice approval and expected collection. Holdbacks, disputed variations and one late customer can produce a much deeper trough than the aggregate receivables allowance. Money paid by a customer for a future job is not automatically profit available for another project.

The base model reaches a lowest closing cash balance of $13,819 across 60 months. The lower-demand case has an unfunded requirement of $38,988. A zero shortfall means only that cash stays nonnegative in that particular run; it is not a recommended reserve floor.

What can change this budget

A van and tools are only part of the startup requirement. Insurance, trade licensing, jobsite protection, dust control, estimating software and the cost of a callback belong in the plan. Decide which specialist work is subcontracted; buying tools does not create the qualification or productive capacity needed to perform it.

Get vehicle and tool quotations for the tasks actually sold. A low purchase price can be offset by unreliable equipment or downtime. Keep a basic reserve for urgent replacement and rental. A contingency in the opening budget cannot also be treated as unspent cash after it has been modeled as installation spending.

Costs and activities outside the case

The case excludes speculative property development, structural design services, unusually hazardous remediation, bonding requirements for specific contracts, customer financing programs and acquisition goodwill. It does not forecast customer deposits, retainage, trade payables or disputed claims individually. Those features require project-level schedules and verification of contract rules in the actual state.
