Self-service car wash startup costs

Illustrative case · Four-bay retrofit of an existing leased wash site · United States · illustrative leased-site case

Explore this business · Startup costs

The four-bay retrofit case requires $286,904, including a $50,000 cash reserve. It is an existing-site budget. A land purchase or new-build project needs a different cost model.

Establish what the lease actually includes

The case assumes access to a usable four-bay structure, adequate incoming utilities and a discharge system suitable for continued commercial washing, subject to confirmation. It does not assign value to those assets or assume the landlord will repair them. A missing utility connection can change both the opening date and capital requirement.

Budget the system, then the site

Illustrative retrofit uses of funds
UseAmountEvidence or assumption
Four-bay pump system$69,404.40Historical item observation; the current supplier listing requires a quotation and has no public price.
Bay accessories and equipment$30,000Allowance: booms, hoses, wands, coin/meter interfaces and ancillary equipment.
Existing-site repairs$35,000Allowance; assumes the structure and basic drainage can be retained.
Water treatment and hot-water systems$18,000Allowance; engineer the complete water scheme.
Payment terminals and controls$15,000Allowance; confirm compatibility with the pump and meter interfaces.
Installation, freight and trade work$18,000Allowance including procurement incidentals; obtain complete quotes.
Capital contingency$22,000Assumed used on the opening project.
Preopening expenses$20,000Site assessment, permits, launch, fees and training allowance.
Initial chemical inventory$1,500Opening stock, then replenished against usage.
Refundable lease deposit$8,000No release assumed during the forecast.
Opening cash reserve$50,000Cash after every other opening use.
Total funding$286,904Debt $200,000 + owner equity $86,904.

The model retains the historical pump-system item observation of $69,404.40. This is not a current supplier offer or a complete installed car wash. The specification distinguishes included pump functions from separately scoped interfaces and installation; spot-free water production also needs scope confirmation. Supplier equipment scope.

Why the major allowances need project evidence

The opening total is a worked scenario, not a verified market average or a supplier quotation. The largest decisions below explain what the amount assumes and what would invalidate it. Supporting a small purchased item does not validate a larger budget line.

Budget lineCase amountStatusBasis to test
Four-bay pump stand$69,404.40Historical item inputHistorical item observation, now quote-required. Obtain the exact pump, controls and compatible meter configuration; no current public selling price is confirmed.
Retained site$35,000Planning allowanceCondition survey must establish which bay structure, slab, drainage and utility services survive. Rebuilding a site is outside this retrofit allowance.
Water scheme$18,000Planning allowanceSpecify treatment, hot water and spot-free water production separately from pump delivery. Use flow, water quality and discharge requirements to obtain a complete quotation.
Installed scope$18,000Planning allowancePrice freight/offload, electrical and plumbing connections, trade work and commissioning. Check what the pump supplier excludes before totaling this line.
Bay equipment$30,000Planning allowanceUnquoted allowance for this defined format. Obtain an item or measured trade schedule, scope exclusions and payment dates; reconcile any components already included in another line.
Payments$15,000Planning allowanceUnquoted allowance for this defined format. Obtain an item or measured trade schedule, scope exclusions and payment dates; reconcile any components already included in another line.
Contingency$22,000Planning allowanceAssumed spent at opening in this model, not an untouched reserve. Replace the round allowance with identified project risks and prevent overlap with quoted trade work.
Preopening$20,000Planning allowanceSpecify the preopening period, paid recruitment/training, permits and professional work. No local fee or duration schedule has been verified for the full allowance.
Opening inventory$1,500Planning allowanceList actual opening stock by quantity and supplier terms. Distinguish stock held from goods consumed; reconcile initial purchase and replenishment timing.
Deposit$8,000Planning allowanceRefundable lease security, kept as an asset. Confirm the signed lease amount, due date and release conditions; do not expense or spend it as available cash.
Cash reserve$50,000Planning allowanceCash retained after the other opening uses. Test the modeled monthly cash trough and changes in collections, payroll commitments and procurement.

Download the material-cost and operating-input evidence register (CSV). Fill the measured scope, quotation and payment dates before replacing the assumptions. Unpriced work remains unresolved; zero is not its estimated cost.

Check documented prices and the missing installed scope

Current price status, checked 2 October 2026: the PSP400 supplier page now says “Call to Order” and displays no public price. The model retains the prior dated $69,404.40 item observation as a historical planning input; it is not a currently available offer. Obtain a written quote before relying on that amount.

The listing covers a four-bay pump stand. Spot-free rinse delivery does not include spot-free water production. Bay/installation kits are optional; compatible meter boxes and associated wiring must be scoped. Freight, unloading, electrical and plumbing connections, commissioning, payment hardware, building works and ongoing consumables need their own evidence. Prewired and preplumbed does not mean installed on your site.

Download the supplier-price and quote worksheet (CSV). Enter quantities and actual delivered/installed quotations for your project. Record tax, freight, unloading, installation, site works, quote validity, deposits and payment dates separately. Blank/unpriced costs are unresolved, not zero.

Match each item to an existing budget line before adding it. Do not add these reference prices on top of an allowance that already contains the same equipment. Reconcile one-time uses separately from refundable deposits and working capital.

Separate installed assets from cash to operate

The model keeps $50,000 available on opening day. Chemical inventory covers 21 days, and receipts settle after 2 days. No supplier credit or emergency credit line is assumed.

Base-case cash bottoms at $44,748. At 75.0% of base demand, the minimum is $20,228. That lower case stays solvent under the assumptions, but does not include a major unplanned equipment failure or an opening delay.

The existing site determines the retrofit risk

  • Inspect slabs, drainage, interceptors, water heating and electrical supply before buying a pump system.
  • Check what equipment is retained, owned by the landlord, leased separately or due for replacement.
  • Obtain a compatible scope for payment controls, meter boxes, booms, water treatment and installation.
  • Confirm winter operation, freeze protection and service access where climate requires them. This national case does not price a specific climate.

Water conservation and discharge conditions depend on equipment and site arrangements. The EPA guide explains relevant operational considerations; a local utility or regulator determines the site-specific requirements. Water and discharge context.

What this total does not buy

Land, a new structure, a conveyor, acquisition goodwill, major sewer reconstruction and off-site utility extensions are excluded. No underground contamination or structural remediation is priced. Contractor taxes, lender fees and permit charges need itemized review against the allowances before they can be treated as covered. The case assumes no landlord incentive.
