The case requires $65,648 at opening: $5,200 retained hardware, $15,448 preopening expenses and $45,000 available reserve. Those are planning allowances, not a purchased turnkey service. The base cash minimum is −$11,266; covering the same forecast without a negative position would require $56,266 reserve, before any quotation changes or extra safety margin.
Define what is already in place
The modeled team works remotely in California, using existing home workspaces. It buys four managed workstation sets for the owner and eventual three delivery FTE; initial staffing is smaller. No commercial lease deposit, office fit-out, server room or vehicle is included. Workspace reimbursement and connectivity are recurring allowances. Verify each worker location, employment arrangement, internet resilience and client data restrictions before using this scope.
Price the commitments by quantity and task
| Use | Case amount | Scope / evidence boundary |
|---|---|---|
| Four workstations | $5,200 | Four laptop/monitor/peripheral sets; delivered quotations unresolved |
| Paid training and process rehearsal | $4,248 | 100 staff hours with burden, plus 40 paid owner hours; duration assumed |
| Launch acquisition work | $4,000 | 36 contractor hours plus campaign; no signed-client guarantee |
| Security and backup setup | $2,600 | 16 specialist hours plus backup/restore setup; scope quotation missing |
| Contracts and legal setup | $1,200 | Professional-liability, privacy and engagement scope review allowance |
| Registration / local permissions | $300 | Allowance, not confirmation of local home-business permission |
| Workflow setup | $600 | One-time setup, distinct from recurring licences |
| Financing fee | $500 | Assumed closing cost, not a quoted charge |
| Spent opening contingency | $2,000 | Modeled setup expense; separate from available reserve |
| Available cash reserve | $45,000 | Cash after all opening uses; not an expense |
| Total opening funding | $65,648 | Equity plus assumed debt; base later has a funding gap |
Price the whole workstation
A starting laptop price does not cover four configured devices, monitors, peripherals, tax, delivery, provisioning and support.
The largest non-reserve use is the workstation schedule: 4 laptops at $1,000, monitors at $220 and peripheral sets at $80. The assumed laptop requirement is 16 GB RAM, 512 GB SSD and a supported OS compatible with selected tools. Microsoft’s inspected business-laptop page currently starts at $1,499.99; four starting-price laptops alone would be $5,999.96, $1,999.96 above the laptop-only allowance. It is a premium-device comparison with an unselected configuration, not a quote for this schedule. Confirm device/OS compatibility and delivered alternatives before ordering. Dell’s live price could not be verified. Current comparison and limits
The second largest commitment pays 100.0 employee hours at $28.00 with 16.0% burden, plus 40.0 owner hours at $25. The result is $4,248. The task schedule covers curriculum, test-file reconciliation, secure access, exception handoff and owner review. Reserve follows the cash path
Monthly staff pay, owner labor, insurance and scheduled debt do not wait for invoices to be collected. Base invoices collect 90.0% in the billing month, lose 1.0% to write-off and collect the remaining net receivable the following month. Opening six expected clients are a demand assumption, not contracts. The reserve is lowest in month 16 and is short by $11,266.
Adding that amount to opening cash mechanically removes the computed trough deficit while leaving EBITDA unchanged. It does not validate growth, create capacity or establish a sufficient lender cushion. The lower scenario requires $374,870 beyond the original reserve and continues losing money; funding that path alone does not repair its economics. Follow the scenario ledger before fixing a financing amount.
Launch and access work can outrun their allowances
The launch use is 36.0 contractor hours at $50, totaling $1,800, plus $2,200 campaign spend. Recurring marketing is $600 per month. Google’s budgeting documentation explains spending limits, not achievable clients; no CPC or conversion result is claimed. Validate outreach, referrals and paid-acquisition experiments against accepted clients and collected fees. Budget mechanics
Security setup is 16.0 specialist hours at $125 plus $600 backup/restore implementation. The $2,600 allowance needs a statement of work for device management, roles, account removal, tested recovery, retention and incident handling. Microsoft 365 Business Premium’s monthly option is $26.40 per user; that subscription does not perform the setup tasks. Confirm tax and contract terms separately. Licence scope
Resolve the gaps before procurement
Hardware tax/freight, paid support, home-workspace upgrades, commercial premises, advanced security obligations, actual professional-liability/cyber cover and contract review are not quoted. The contingency is modeled as spent preopening cost, so it cannot also be counted as unused reserve. No client accounting subscription is resold or paid by the firm; the client supplies its own licence. Financing fees are assumed rather than promised waived.
Keep a procurement register with item, specification, quantity, delivered total, exclusions, quote expiry, deposit/balance date and evidence received/reviewed status. For training, keep role, paid hours, curriculum, sample-file outcome and reviewer sign-off. Replace assumptions together and rerun the model; a quotation that changes only a table leaves the forecast stale.
