What should an office-cleaning company finance?

Illustrative case · Owner-led small team cleaning ordinary commercial offices under recurring contracts · United States; illustrative Ohio jurisdiction; no real city or site asserted

Explore this business · Financing options

The illustrative request is $25,000 debt plus $16,283 owner equity, equal to $41,283 opening uses. The assumed loan is 12.0% fixed over 60 months, paid at $556.11 monthly from Month 1. It is a modeling assumption, not a lender offer. Only 8.9% of uses are delivered assets; most of the request supports preparation and cash before contract invoices are collected.

NAICS 561720 covers janitorial and cleaning services across formats and sizes. It does not isolate this case: Owner-led small team cleaning ordinary commercial offices under recurring contracts. Loan records do not establish local demand, costs or operating performance.

These are positive-amount loan records selected by approval fiscal year and PIF, CHGOFF or EXEMPT status at the stated snapshot. They are not unique firms, search volumes, approval probabilities or loans disbursed during that year.

Match the instrument to the cash use

A small owner-funded or intermediary-funded launch can fit the scale of this portable-equipment and payroll case. The SBA Microloan borrower page lists loans up to $50,000 with eligible uses including working capital, supplies and equipment; the intermediary sets actual credit terms. It does not validate this price, rate or applicant. Official Microloan program.

7(a) financing can include working capital, equipment and changes of ownership, subject to lender/program requirements. A purchase of an existing route needs a separate valuation, transferable contracts, customer retention and normalized owner labor. Working Capital Pilot conditions are separate and are not assumed for a new startup. Official 7(a) program.

504 is a major fixed-asset program and cannot fund working capital or inventory. Its long-lived equipment scope differs from this 36-month planning equipment life. A rented-storage startup with a large payroll/receivable need is therefore a different funding case. Official 504 uses and exclusions.

Executed financing/timing comparisons, USD. All-owner funding changes sources and removes financing charges; it does not create customer demand.
Illustrative scopeOpening sources/usesScheduled debtCash consequence
Borrowed launch$41,283$556.11 per monthBase cash trough $3,294
All-owner-funded launch$40,783No scheduled debt; loan fee removedSame cleaning EBITDA; cash trough $10,524
Same borrowed launch; invoices paid month +2$41,283Payment unchangedUnfunded minimum −$14,213

The all-owner-funded comparison removes the loan and its $500 fee, so total uses fall to $40,783. Year 1 EBITDA is identical. Its larger equity investment recovers in Month 36, using the same after-reserve recovery rule. Comparing equity recovery without stating the different invested amount would mislead.

Prepare the evidence that makes the request reviewable

Ask the actual lender for its current application list. Provide the owner's experience and legal entity information, documented equity source, supplier/insurance quotes, task-based customer scopes, signed work or a qualified pipeline, a paid roster and 60-month linked statements. Do not invent a founder biography, client list or universal required equity percentage. The shared loan document checklist organizes what has been received versus reviewed.

For each contract, preserve the work areas, task frequency, acceptance method, access windows, exclusions, pricing revisions, collection dates, termination notice and authority to approve an invoice. The owner's sales/admin hours must coexist with field coverage. Insurance certificates and BWC coverage/classification should match the real paid work, not a generic quote. Ohio employment definitions.

Tie the request to the cash trough

Base Year 1 EBITDA/debt service is -0.58x, while Year 2 is 4.31x. These are illustrative annual ratios after normalized owner labor, not a lender's required DSCR or a proof of approval. Current collections and capital spending can make a year with accounting profit consume cash.

The one-month-to-two-month collection test requires $14,213 additional funding to bring the modeled minimum to zero. Preserving the original $3,294 minimum instead requires $17,508. Choose a real operating buffer after confirming customer terms; zero minimum cash is an arithmetic boundary, not a useful operating policy.

Ohio office-cleaning service prices exclude collected sales tax. Confirm the address-specific rate, customer exemption documentation, registration and filing basis. The assumed tax remittance can precede the customer's cash, so gross invoice balances and tax payables must be included in working capital. Tax scope and vendor registration.

Use broad lending observations with their denominator

FY2025 had 590 included records for broad NAICS 561720: 575 7(a) and 15 504. The 7(a) approved-amount median is $150,000 with 575 valid values. The 504 amount/term medians are suppressed because their 15 valid observations are below the 25-value contract. GrossApproval is the entire 7(a) amount or only the SBA/CDC portion of 504, not the total project cost.

The approved-amount median is much larger than this equipment/working-capital request; that comparison does not establish a minimum loan, a funding need or a recommendation. Data include acquisitions and larger operators across the category. The June 2026 snapshot, approval-FY definition and included PIF/CHGOFF/EXEMPT statuses must stay attached to the figures. Official dataset and classification.

Separate a fixable timing gap from a loss-making bid

A collection delay can be addressed through verified terms, deposits where contractually acceptable, more owner cash or appropriately approved credit. A bad route/bid cannot be repaired by calling more debt revenue. The downside first exhausts cash in Month 5 and never turns EBITDA positive in the forecast. Its $257,029 continuation gap means reprice, reduce scope/commitments or stop before accepting more loss-making accounts.

Loss of a large client, unplanned rework, key/alarm failures, customer damage and staff absence can combine. Confirm notice periods, incident processes, insurance exclusions and actual shift availability. The monthly capacity does not establish a service guarantee. A future owner-generated business plan should retain these weaknesses and the unfavorable first-year figures rather than replace them with optimistic summaries.
